<p>Over a thousand businesses rely on eSlip Payroll Services to complete their payrolls correctly, on time and easily. And in the middle of a disaster the last thing you don’t want to be doing is spending valuable time apologising to <a title="What eSlip Payroll Services Clients Think" href="http://easypayrollservices.co.uk/testimonials/" target="_blank">clients</a> because their payroll is delayed. Really that just wouldn’t do.</p>
<p>Our business continuity process started with a risk assessment. Now people will come in and charge you a fortune to consult on this, but we thought that unnecessary. Honestly we already knew what could go wrong, after all they are the things that keep you awake at night. So we made a list of everything we thought that could go wrong and against issue we scored it High, Medium or Low for the likelihood of it happening and also the impact on the business should it happen.</p>
<p>This gave us a way of prioritising which potential threats to address first. Here I’ll share OUR big three, the ones which would seriously impact our ability to deliver consistent payroll services to each and every one of our clients. The first two were quite easily mitigated.</p>
<p style="padding-left: 30px;">1. Our broadband could go down. This would stop us receiving instructions and returning electronically our completed payrolls, definitely high impact. So we contacted our IT outsourcers (oh yes we are big believers in outsourcing rather than trying to be experts at everything). The solution we agreed on was to buy a 3G dongle and upgrade our router to one that will automatically reroute our communication though the dongle should our main Broadband connection fail. Installed and tested… great.</p>
<p style="padding-left: 30px;">2. We could have a power failure. For this we adopted a two prong attack. First we installed (alright our IT outsourcers did) a pair of UPS (uninterruptable power supplys) to keep the phone system running and keep power to our main server for long enough for it to shut down without risking corruption and making it quicker to restart. Next we indentified a group of essential equipment, certain PC’s, the server, printers and put them on power surge protected extensions’ with long leads. We calculated how much power all this equipment needed and added 20%. So in the event of a power failure we hire a 240v generator, plug our essential kit in and within minutes we are up an running. This has not only been tested but recently used in anger.</p>
<p style="padding-left: 30px;">3. Our last major risk, what if we lost everything! We marked this as not very likely but the absolute highest impact. And with the recent riots we realise the likelihood is higher than we first evaluated.</p>
<p style="padding-left: 30px;">For this we turned to a specialist data recovery firm <a title="Specialist Data Backup Supplies eSlip Payroll Services" href="http://www.gigasoftdatabackup.co.uk/" target="_blank">Gigasoft</a>  and signed up for their Gold package. Every night <a title="Specialist Data Backup Supplies eSlip Payroll Services" href="http://www.gigasoftdatabackup.co.uk/" target="_blank">Gigasoft</a> automatically take a backup of all the changes on our server, and keep this securely together with an image of our servers configuration. They maintain spare servers, which in the event of a major disaster they would use and quickly restore our servers programs and data on to them. Now rushing around to get potential new PCs from <a title="Immediate replacment computers for eSlip payroll services from PC World" href="http://www.pcworld.co.uk/gbuk/s/home.html" target="_blank">PC World</a> would be a pain but very doable.</p>

As the business grew this was putting a growing demand on the time of the senior personnel responsible. Overall the high number of variable pay elements utilised within the company made the payroll process complex in itself.</p>
<p>In addition much of the business expansion required weekly pay runs and this together with confidentiality issues which made it difficult to delegate, exacerbated the time problem. Another issue was the need for detailed supporting information regarding the make-up of the gross pay. On the monthly payrolls this meant that four weeks worth of detail about shifts worked, pay rates, overtime etc had to be produced to support the monthly gross pay amount. This was being produced on a separate spreadsheet, outside of the payroll system, and included in an envelope with the payslip, with a number of attendant control issues. It was fundamental that the service provider was able to provide this supporting data in respect of <a title="eSlip Payroll Services Client Euroway main site" href="http://www.eurowaygroup.com/" target="_blank">Euroway</a> maintaining good staff morale and limiting employee queries.</p>
<h2>Why eSlip Payroll Services:?</h2>
<p>eSlip Payroll Services was chosen by Euroway for a number of reasons. Initially eSlip ensured that they fully understood Euroway’s requirements before proposing a solution. The eSlip service was flexible enough to cope with the Euroway requirement and in particular they demonstrated their ability to tailor the service specifically for Euroway. eSlip Payroll Services was also innovative in defining a much improved way for providing the supporting detail required and previously supplied on a separate spreadsheet. Many suppliers, particularly those serving the SME market, have a relatively rigid service and the adaptation required for a specific customer requirement is often left with the customer. Also late changes and reruns can often result in extra charges, which is not the case with the eSlip service.</p>
<h2>Solution Provided by eSlip</h2>
<p>eSlip designed the weekly/monthly update file to incorporate the full range of pay elements, such as various shift allowances; overtime rates; callout rates; different hourly rates etc. Using email the Euroway specific update sheet is sent each week/month to Euroway and returned to eSlip Payroll Services after any variable pay information has been added.</p>
<h2><strong>It Pays to Outsource Payroll with </strong><strong>eSlip Payroll Services</strong></h2>
<p><strong></strong>Specialist support services to the road transport industry eSlip redeveloped the payslip print program to incorporate detailed analysis by week (even for monthly paid) on the payslip itself. This sometimes requires a second payslip to be produced with the additional supporting detail on it. This is done with no interruption to the output run. The payslips including the detailed analysis are now provided as security laser printed documents, which are then posted to either the Euroway head office in Bedfordshire, one of the depots and in some case direct to home addresses.</p>
<p>A range of reports providing the required management information is provided, again utilising email, and the service includes a BACS transfer of funds into all employee bank accounts. Extensive use of email has improved confidentiality and speeded up the input process. This is always time critical for weekly runs, and for monthly runs helps ensure that time is available for late changes and other unforeseen problems. By being as efficient as possible with the input process time can be available for dealing with problems and for payrolls to be rerun if necessary whilst maintaining the all important timescales for payment to the employee.</p>
<h2>Benefits to Euroway</h2>
<p>Significant time is freed up for the Group Financial Controller enabling him to utilise his own time addressing more business critical issues. Utilising an email-based service improves and speeds up the data input process. Payroll information is provided quickly allowing prompt live run authorisation. Often by early/mid afternoon on the Monday of each week Euroway can put the payroll to bed, knowing that everything will now progress to correct and on time payment to all employees. Mistakes or errors at the input stage are identified and there is time to correct and rerun payrolls and to provide all affected reports with updated content.</p>
<p>Payslips contain the full analysis required, which is always consistent with the payslip thus minimising employee queries Flexibility is built into the process such that reruns are no problem, and even enquiries in advance of a payroll run concerning for example employee queries about the impact of a change in tax coding can be requested and answered by eSlip. Confidentiality of sensitive payroll data is increased with use of email for data input, payslips incorporating detailed analysis and security payslips.</p>
<p>An additional benefit found by Euroway is the fact that the content and format of the data update file can be utilised to answer many HR type questions asked by senior management about the structure of their employee costs for example. The person most affected by the decision to outsource the Euroway payroll to eSlip is Mark Scott, the Group Financial Controller, who is quoted as follows: “eSlip have been able to provide Euroway with a flexible solution to their payroll needs, which not only is cost effective, but also ensures that payroll payments are always made in a timely manner. Utilising the benefits of email, information and reports are also provided in a timely manner.”</p>

<p>I recently helped and encouraged Mel, my local landlady to start a FaceBook Fan Page to help market her already highly successful pub/<a class="zem_slink" title="Restaurant" href="http://en.wikipedia.org/wiki/Restaurant" rel="wikipedia">restaurant</a>. I think one of the reasons that she is already so successful is that she is always ready to listen to new ideas, even though she’s was already out performing all her competition which is why people say success attracts success.</p>
<p>It’s worth saying first, that <a class="zem_slink" title="Social media" href="http://www.wikinvest.com/concept/Social_media" rel="wikinvest">social media</a> is just an extension of the word of mouth recommendations that began some <a title="New Scientist - A Brief History of the Brain" href="http://www.newscientist.com/article/mg21128311.800-a-brief-history-of-the-brain.html?full=true" target="_blank">200,000 years</a> when our ancestors began to develop a modern human brain to facilitate language. But nowadays with the reach of social media it is just so much quicker to get a reputation both good and bad! So the point here being you must have a business, delivering real client satisfaction for social media to work. Mel boosted her number of ‘Likes’ with special offers, and by using a <a class="zem_slink" title="QR code" href="http://www.fastcompany.com/1585822/business-card-just-scan-my-qr-code" rel="homepage">QR code</a>, that automatically Likes the pubs page when scanned with a <a class="zem_slink" title="Smart phone" href="http://www.wikinvest.com/concept/Smart_phone" rel="wikinvest">Smartphone</a> using a suitable app.</p>
<p>Mel has posted her QR code every where, it’s on signed in the pub and boards advertising the pub along its approach roads.<br />
The importance of having lots of fanpage ‘likes’ is it means that person/customer sees their posts and special offers. So the more the merrier.</p>
<p>So back to ‘Wobbly Wednesdays’. On a Wednesday lunch (say) Mel checks how many bookings she has for that evening for the restaurant, and if she feels that they could do with more, she post :-</p>
<p>“<a class="zem_slink" title="Australian English vocabulary" href="http://en.wikipedia.org/wiki/Australian_English_vocabulary" rel="wikipedia">Woop Woop</a>&#8230;&#8230; ITS WOBBLY WEDNESDAY&#8230;.. Free bottle of house wine for my favourite diners tonight!!!!!”</p>
<p>Just think about this, a free advert, aimed only at happy repeat customers just hours before Mel wants to fill her restaurant with extra customers. The cost? Just a bottle of house wine for those customers that actually turn up. And if the restaurant is already busy, then Mel will post another time. Now that’s smart targeted advertising, And it works, every time!</p>

<p>Our payslips have evolved and over the years we have consulted with our many and diverse clients. We have incorporated on the payslips many different design features which can be company and even individually tailored.</p>
<p>Today eSlip payslips are:-<br />
• A means of helping to reduce the time that our clients spend handling pay queries from their employees, by providing information to help resolve employee’s questions before they pick up the telephone or walk into the pay office.<br />
• A very effective means of communicating with all employees on a variety of different topics.<br />
We have designed our payslip in a way that directly enables us to address these two issues, and below are a number of examples of this in practice.</p>
<p>According to our clients the most common query they had to deal with was “why has my tax code changed?” Only the employee can query this with their tax office. Initially we included the individual’s tax office contact number on the payslip; but with the HMRC change to a single contact point, we now include this contact number on the payslip together with the employer’s tax reference number. The employee thus has the information to make the enquiry without contacting his payroll department.</p>
<p>At the bottom left of the payslip, we include a summary of all the Statutory information for that pay period, together with running totals for the Tax Year to date. This area of the payslip can also be used by the employer to show the monetary value of other benefits such at their pension contribution to the employees’ pension.</p>
<p>On the front of the payslip the company name, is followed by a department code (on which the payslips can be sorted if required for the client).</p>
<p>We then have a delivery code which is the primary sort field that tells the despatch department where to send the payslip and by what distribution method. For example to head office by Royal Mail or by special delivery or to a Home Address by standard 2nd class mail (eg. HA2S).</p>
<p>We also have a sequence number and pay period number which allows the payslip bundle to be checked for completeness, and also makes it easy to reprint any payslips that fail quality control.</p>
<p>On the address panel, there are two markers at the corners of the box (not shown on PDF versions).  These enable the finishing team to check the alignment of the payslip without affecting the security seal.  Alignment is adjustable easily at run time by the payslip program, to cope with variations in alignment between payslip batches.  There are many more features of our payslip which we will cover in more detail later.</p>
<p>By attention to all these individually small details we have substantially enchanced our client experience, saving them time and money.</p>
